Our client is a leader in developing, leasing and managing commercial and residential, retail, hotel and mixed use property in urban locations worldwide.

This is a varied role which incorporates EA support to the managing director in conjunction with managing office administration in order to provide a best in class office environment that facilitates operational efficiency, collaboration and teamwork.

Travel & Diary Management

  • Co-ordinate complex travel arrangements including air, hotel, ground transportation, meal reservations as business needs and personal preferences dictate.
  • Extensive diary management including coordinating calendars and meetings. Anticipate and resolve scheduling conflicts as they arise and prioritize issues to ensure an effective time management approach. Communicate agendas and respond to frequent calendar changes as needed.
  • Scheduling conference and video conference calls across multi time zones
  • Processing expense reports for company AMEX and cash reports
  • Document production - printing and binding
  • Booking restaurants for breakfast, lunches or dinners
  • Ad hoc administrative tasks
  • Some personal work (20%)
  • Compiling weekly agenda for weekly Team Meeting, alongside minute taking
  • Providing some diary management and support to the two Executive Directors

Office Manager Duties:

  • Ensure the equipment, company resources and general infrastructure of the company is properly maintained and meets Health and Safety and Fire Risk Requirements
  • Implement health and safety policies and procedures in line with current EU Health and Safety regulations
  • Organise and plan central services such as cleaners, in-house catering, mail, stationary, archiving, waste disposal and recycling, office moves, courier services, car/cab services and all general maintenance, ensuring exceptional standards at all times
  • Ensure office has trained fire wardens and first aiders
  • Manage relationships with service providers and landlord
  • Events

Skills and Experience

  • Excellent people management and team leadership skills - collaborative with a strong sense of team work and the ability to motivate a team
  • Competent project planning and management capabilities
  • Proven office management experience
  • A high degree of self-confidence and conviction
